By default, sales and other income generated via the Events, Boutiques, Donations and Memberships forms are automatically added to a dedicated accounting account. However, if you wish, you can link the sale of a particular product/service to a specific accounting account.
This feature enables you to distinguish, for accounting purposes, between sales linked to a particular event, for example, and sales linked to another event.
Enable account customization
Go to Settings> Forms & Campaigns.
In the "Automation" section, activate "Assign the accounting entry to a specific account".
Activating this option makes it available in your forms, but not mandatory. You're free to use it or not.
Default accounting entries for your forms
Entries related to Events
By default, sales of Event forms are attached to the accounting category Sales of services (e.g. courses, events) (706000) .
Store sales entries
By default, sales from sales forms / stores are attached to accounting category Sales of merchandise (e.g. derivatives) (707000) .
Entries related to donations
Sales made in the "Donations" application are assigned to the accounting category Donations (754000) .
Entries related to memberships
In the membership application it depends on:
- For "Adhesions formula" Tariffs, sales are attached to the Membership fees (756000) accounting category.
- For "Optional services" tariffs, sales are attached to the accounting category Sales of services (e.g. courses, events) (706000) .
- For "Product sales" tariffs, sales are attached to the accounting category Sales of merchandise (e.g. derivatives) (707000) .
Link the sale to a specific accounting account
If these default settings don't suit you, you can set up a specific accounting account for each formula set up in your membership, donation, event or sales forms.
- Go to the form editing page
- In step 2, dedicated to formulas and rates, identify the one of your choice, click on the cogwheel and then "+ option". If you've enabled it as described above, the "Link to a specific accounting category" option appears.
- Check the option and select the accounting account of your choice from the drop-down list.
- Validate
If you can't find the accounting category of your choice in the drop-down list, go to Accounting > Settings → Categories to customize the proposed accounting accounts.
Repeat the operation for each price of your choice.
Don't forget to save your form.
Please note: changing the accounting category does not affect the fact that the tax receipt will be sent if you have activated this option for the form.
Results
Once you've done this, each time a participant chooses this rate, the transaction will be assigned to the accounting account you've customized. This will be visible in your accounting documents.
This setting is not retroactive: transactions carried out before the accounting account assignment was customized are not changed. You can, however, change the imputed category for several entries from Settings > Accounting > Deleting entries and accounting reset (at the bottom of the page).
