Annual Meetings are a key moment in a nonprofit's life, as they formalize the structural decisions of your organization. It's necessary to write minutes for each meeting to keep a written record of what was said and decided. This is often laborious work, but good news: Springly allows you to automatically generate this document using artificial intelligence (AI)!

Generate your Annual Meeting minutes using artificial intelligence
Artificial intelligence is known for its ability to reformulate.
The idea: you indicate the essential elements of your meeting (resolutions, debates, votes), and we automatically generate your minutes.
You can obviously modify it if necessary, but 95% of the work is done! And this will save you precious hours of work, which you can dedicate to other more useful tasks for your nonprofit.
Specifically, it happens in 5 steps:
- Verify your nonprofit's information: name, address, etc.;
- Enter your Annual Meeting information: date, quorum, roles;
- Indicate the resolutions on the agenda and complete them;
- The minutes are automatically generated;
- Modify if necessary, then download!
Where to generate Annual Meeting minutes?
- Go to your platform's Home page;
- Go to the bottom of the page and click on "Meeting Minutes";
- The steps for generating the minutes are presented. Click Start to start.
How to generate Annual Meeting minutes?
Step 1 - The Nonprofit
The information displayed at this step is the same as what's entered in Settings > Your Organization. Verify that it's still correct or modify if needed, then click Next.
Step 2 - The Meeting
Enter the date and the people present at the Annual Meeting.
You must indicate the president and the secretary.
These two people must already be registered in your Community. If not, create their profile in Community > Contacts.
Step 3 - The Resolutions
Generally, Annual Meetings have standard resolutions, such as budget approval. We have identified these common resolutions to suggest them to you. You're free to check them or not, depending on your meeting's agenda.
You can add other resolutions specific to your session by clicking the "Add a resolution" button (below the list of already listed resolutions).
For each resolution, indicate the key points of the subject presentation, as well as the debates following this presentation. Finally, indicate the voting result.
You can type this information in bullet points: our tool will do the rest!
Once all resolutions are filled in, click Generate the meeting minutes at the bottom of the page. Your minutes will be automatically generated. This usually takes less than a minute.
A new page opens with the automatically generated document based on the provided answers. You can directly modify this document to adapt it if necessary, and of course, download it using the "Download the meeting minutes" button at the bottom of the page.
Happy meetings!
