Lettering is an accounting operation that consists of drawing amounts from a third-party account (class 4 account). In general, we "letter" accounts receivable and payable.
This operation has an undeniable advantage: it verifies that invoices issued or received have actually been paid. Lettering can be automatic or manual.

The benefits of lettering in accounting
Lettering is the link between an invoice (a commitment) and its payment.
It can therefore be used to display only non-literate transactions and to justify account balances. This means that only amounts for which no payment has been made can be printed.
At the end of the lettering process, the association knows :
- Bills still to be paid ;
- Invoices awaiting collection.
Last but not least, lettering enables you to prepare for the end of the financial year and makes it easier to draw up the balance sheet.
Lettering in Springly
We have chosen to simplify manual lettering - sometimes long and tedious - with automatic lettering.
It can happen in two ways:
- In the case of an online operation (transaction on a form or ticketing system), the software automatically reconciles the commitment with the payment(s);
- If the transaction has been manually added to the accounting system via an entry, then adding a payment to the payables/receivables page will enable the transactions to be reconciled directly with each other.
You can track "letterable" transactions on the payables and receivables page. These are transactions on :
- 411000 - Customers
- 401000 - Suppliers
- 467000 - Contacts
Example
You have an unpaid invoice. You'll find it on the Payables and Receivables page, accessible from Accounting > Book Entry > Manage your payables and receivables. An outstanding balance appears.
You can register a payment. Adding a payment automatically brings them together.
The invoice will no longer appear in the list and will be reconciled with the payment and in the case of partial payment, reconciliation is partial and the commitment remains visible on the tracking page until payment (and therefore reconciliation) is complete.
How can I have a General Ledger of lettered and non-lettered entries?
Go to Accounting > Documents, then to the General Ledger tab.
Click on "Advanced search": the possibility of filtering entries according to whether or not they are lettered appears.
Why are there no letters in the Big Book?
Traditionally, a letter is assigned to the commitment and the payment in order to reconcile them manually and make them more visible in the General Ledger.
This materialization is not yet available, but developments are planned to make it visible in the Ledger.
