Before starting
As head of your association, you need to know your members, their history with your organization, and the resources generated by membership.
This detailed information is generally useful for filling out presentation files, grant applications, activity reports, etc. Springly gives you the option of exporting this information to meet these needs.
Find out more in this article:
- Where to export membership information
- What information you can export
- Information exports for advanced groups
Remember: on Springly, membership of your association necessarily has a start and an end date. These two dates determine the period during which membership is considered "active".
Where can I export membership information?
The exports interface, accessible from Community in the left-hand side menu, enables you to export consolidated information on your members and memberships on a massive scale.
From Community > Exports, choose "Members":
You'll then be taken to a dedicated page offering a range of information for export.
What information can you export?
This bulk export page lets you export consolidated lists of member contacts and their memberships.
Note: if you have activated the Entities feature (available in the Professional offer), you can export the information about member entities.
About current members
On the export page, you can choose to export information about your current members, i.e. those whose membership start and end dates contain today's date.
You will then receive an Excel document by e-mail containing the following information:
- Unique identifier of the contact, present in the Community.
- Native contact fields:
- For individuals: first name, surname, e-mail address, landline phone, cell phone, postal address.
- For structures: name of structure, e-mail address, landline telephone, mobile telephone, postal address.
- 1st membership: date of first membership registered on Springly.
- End of membership: date from which the contact is no longer considered a member.
- Current membership amount.
- Organization to which membership is attached, particularly useful for platforms with advanced groups to which membership is possible (e.g. multi-sport clubs).
About former members
You can choose to export only information about former members by selecting the membership period.
Select two dates. If a contact had an active membership on at least one day between the two dates, it will appear in your export.
- Sum of the contact's membership amounts over the selected period.
- Organization to which membership is attached, particularly useful for platforms with advanced groups to which membership is possible (e.g. multi-sport clubs).
About memberships over a given period
We're no longer talking about members, i.e. natural or legal persons, but about memberships.
Thus, if a person has joined your association twice over the selected period, he will appear twice in the export you receive by e-mail.
It will contain the following information:
- Transaction identifier, which appears in the list of registrants on the membership form
- Unique identifier of the contact, present in the Community
- Native contact fields
- For individuals: first name, surname, e-mail address, landline phone, cell phone, postal address
- For structures: name of structure, e-mail address, landline telephone, mobile telephone, postal address
- Transaction date, i.e. date on which membership was taken out
- Membership start date, i.e. date from which membership is active
- Membership end date, i.e. date beyond which membership is no longer active
- Membership fee
- Payment status: membership paid, partially paid or unpaid
- The payment method used for membership: credit card, bank card in installments, cheque, etc.
- Name of the formula on which membership was taken
Information exports for advanced groups
If you manage a platform with advanced groups, this section will certainly be of interest to you.
Let's take two examples to illustrate.
Example 1: Memberships are managed at the advanced group level
On Springly, you manage an omnisports club (i.e. the main administration) with several sections (i.e. advanced groups). Memberships are managed within each section.
- If you export the list of members from the main administration, you will obtain all members, regardless of the section they have joined.
- If you export the list of members from an advanced group (e.g. the Basket section), you will only obtain the members of the advanced group you are in (and not those of any other section).
Example 2: memberships are managed at the main administration level
You're still managing an omnisports club (i.e. the main administration) with several sections (i.e. advanced groups), but this time membership is managed at the main level: members join the omnisports club.
- If you export the members to the main administration level, you'll get all the members of the omnisports club.
- If you export members from an advanced group (e.g. the Basket section), you'll get all omnisports members belonging to the "Basket" advanced group.
