Before starting
Maintaining strong connections with your members is ⭐️paramount⭐️ for all aspects of any association.
In this article, we'll unveil the most effective best practices to rekindle connections while streamlining the process of attracting new members, collecting dues, and securing renewals. Let's dive into actionable strategies and tactics that will empower you to boost membership retention and financial sustainability.
Best practices for new members and renewals
Customize your reminder message
The message must convey the interest of your members to join your association and strengthen their commitment.
Start with a warm welcome and an effective reminder of the benefits of being a member of your association. And end by asking them explicitly to renew their membership today.
Highlight the "call-to-action": the action expected of them must be clear. Use a prominent button with a link to your membership form.
Have an easy-to-find membership page on your website
Make sure to have membership links or calls to action clearly visible, especially on your home page.
The renewal page should be clear and simple, so that members can navigate easily.
Propose suitable payment methods
Between manual reminders and lack of traceability, cheques and cash have many security pitfalls.
Offer online payment by credit card or payment in installments, this way you can be sure of receiving your payments immediately while being informed in real-time of the amounts received.
You'll save precious time, which you'll be happy to devote to other tasks in the life of your organization.
Sometimes members need a little more time to pay for their memberships. To meet this need, you can offer payment in installments with long intervals between payments. For example, allow membership payments in 2 separate 3-month payments.
A payment schedule is available for each member who pays by credit card in installments. It shows you payments already received and those to come. So you can easily manage your cash flow.
Best practices for payment reminders
Register the receipt of offline payment methods quickly enough
Record received offline payments in real-time, whether you got them by check, cash, or other means.
This will allow you to maintain an up-to-date list of those awaiting payment and reduce the risk of contacting the wrong people, which can damage your association's image. It would be unwise to follow up on a payment you have just received.
Indicate the due date in the confirmation e-mail
You can already indicate the expiry date in the confirmation e-mail your member receives after registering.
To configure your message, go to the membership form and, in "Step 4: Payment Options", tick the box for a custom confirmation message.
